AI Automation Needs a Settled Process First

AI is useful when it removes repetition from a process people understand. It cannot make an unclear process trustworthy by itself.

The fastest way to create a disappointing AI project is to start with the AI. A team chooses a model, connects it to a pile of documents and waits for productivity to appear. When the answers are inconsistent, the problem is often the process and the source material, not the model.

Before automating, make the work visible. Write down the repeated steps, the decisions that require judgement and the information people need to complete the task. That makes it possible to choose the right level of automation: a rule, an integration, a template or an AI assistant.

The best first automation is usually narrow. It removes one repeated handoff or one common piece of document work, then gives the team a way to check whether the time was genuinely returned. AI should earn its place in the workflow instead of becoming another system people have to maintain.
